A computer for KSeF doesn’t have to cost a fortune

As befits a project that involves major changes affecting the entire country, KSeF has already divided the country and sparked thousands of discussions. Many people wonder whether they need to buy a new computer and pay for the software. Fortunately, in practice it does not look so dramatic. To use KSeF they are enough free toolsincluding the KSeF Taxpayer Application 2.0, which runs through a web browser. Average equipment should therefore be sufficient. It is important that it can easily handle a modern browser and does not choke when several tabs are open at the same time. However, there are a few nuances worth mentioning.

What are the KSeF requirements?

I have already mentioned the most important one: KSeF 2.0 runs in the browser. The Ministry of Finance indicates that the web application was created with… Google Chrome, Microsoft Edge, Mozilla Firefox and Safari. On the KSeF website we read that it is recommended to use current versions of web browsers. On older ones, services may not work or function incorrectly.

And here we come to the heart of the problem. In the case of KSeF’s technological requirements, we do not receive a list like “minimum processor clock speed” or “minimum number of gigabytes of RAM” or even “works with browser version XY”. However, we have a specific intermediate requirement: the computer must be able to run a supported, up-to-date browser. So if you have a very old computer with a system on which you can no longer install the current Chrome, Edge or Firefox, this is where the problems begin.

On what computers KSeF may not work?

The riskiest computers today are those that get stuck on Windows 7, Windows 8 or Windows 8.1. Google says that Chrome 109 was the last version to support Windows 7 and Windows 8/8.1, and Microsoft ended support Edge 109 for these systems in January 2023. Mozilla maintained Firefox ESR for older Windows for a longer period of time, but this was also a temporary solution. So if your old computer can’t run Windows 11, it’s probably not the best choice for hardware that can run KSeF.

In practice, it is also worth watching out for very old configurations with:

  • a disk drive instead of an SSD,
  • 4 GB RAM or less,
  • very old processor,
  • low resolution screen.

The point is not that KSeF officially blocks the possibility of working on such equipment. The problem is rather that a web application with forms, lists, filtering and multiple browser tabs will not run smoothly on such hardware. From a practical point of view, disk SSD and 8 GB RAM Today, this is a reasonable minimum for comfortable office work, but it is worth emphasizing that it is purely utilitarian recommendationand not an official requirement of the Ministry of Finance.

KSeF and old computers – what was all the fuss about?

There was a lot of frustration around KSeF on the part of entrepreneurs, who pointed out that the state system excluded users of old computers and exposed them to additional expenses. There was an argument in articles and comments that if the state imposes some mandatory solution on us, it should not indirectly force the replacement of equipment or the operating system.

From the user’s perspective, this objection is understandable. Many small companies still have computers that can still handle some simple tasks. Logging in to KSeF may be beyond the capabilities of such equipment, and since the e-invoice system is mandatory, this problem must be solved somehow. However, it turns out that the most important problem here is not the additional expense, but… data security.

KSeF on an old computer – is it safe?

It is difficult to defend the idea that the state system for handling company invoices should be adapted to operating systems that no longer guarantee an adequate level of protection. Since Chrome and Edge have long distanced themselves from Windows 7 and 8.1, and Firefox only temporarily maintained ESR support for these platforms, forcing KSeF to be compatible with such environments would de facto mean accepting work on increasingly less secure foundations.

And sure, users of older computers have a real reason to complain, because some of them have to bear the cost of replacing the hardware or systembut from the security point of view, it is difficult to expect that the state invoicing system in 2026 will be designed with computers from the Windows 7 era in mind.

What computer should I look for for KSeF?

If you want to buy a computer specifically for KSeF and simple office tasks, it is worth looking at a few simple things:

  • computer with Windows 11 or one who can handle it,
  • SSD 256 GB or more,
  • 8 GB RAM as a minimum,
  • processor at least from around here 8th generation Intel.

Support for Windows 10 ended on October 14, 2025. After this date, the system continues to work, but no longer receives standard security updates and technical support. On the other hand Windows 11 officially supports Intel Core processors from the 8th generation and above. In practice, this means that when purchasing a computer for several years, it is wiser to choose such platforms rather than older 6th or 7th generation configurations.

Post-lease computers for KSeF up to PLN 1,000

Dell OptiPlex 3060 Micro – PLN 749

In one of the websites selling post-lease equipment, I found, for example, a model Dell OptiPlex 3060 Micro With Core i3-8100T, 8 GB RAM, 256 GB SSD, Wi-Fi and Windows 11 Home for PLN 749. This is a reasonable example of a budget computer for KSeF. We have a small housing, an up-to-date system, an SSD drive and a configuration sufficient for a browser, documents and work in official systems.

Dell OptiPlex 7060 SFF – PLN 899

Might be a good option too Dell OptiPlex 7060 SFF With Core i5-8500, 8 GB RAM, 256 GB SSD and Windows 11which I managed to find for approx. PLN 899. This is one of the most reasonable types in this budget, because the 8th generation of Intel systems is today a very reasonable compromise between price and issues of platform modernity.

Dell OptiPlex 5060 SFF – PLN 889

Yet another option in a similar budget is Dell OptiPlex 5060 SFF With Core i5-8500, 8 GB RAM, 256 GB NVMe, Windows 11 and Wi-Fi for PLN 889. Similar class to 7060, but with NVMe drive. If it is to be a computer for KSeF, it is a very comfortable choice.

Lenovo ThinkCentre M720s – worth hunting

Another suggestion is Lenovo ThinkCentre M720s SFF With Core i5-8400, 8 GB RAM, 256 GB SSD and Windows 11 Home. This is a model that, in terms of specifications, fits our scenario very well. If you can get it around PLN 1,000, it will be a very reasonable choice.

Lenovo M920T / M920Q

You can sometimes find newer models of Lenovo computers for around PLN 1,000, for example ThinkCentre M920T or M920Q with 8th or 9th generation i5 processors, 8 GB RAM and 256 GB SSD. If you manage to buy such a device within the discussed budget, it will certainly be a good purchase for KSeF and office work in a broader sense.

What wouldn’t I buy for KSeF?

Today I wouldn’t aim for:

  • computers with Windows 7/8/8.1,
  • equipment with a disk drive instead of SSD,
  • devices with 4 GB RAM,
  • very old structures from around 2016,
  • computers with processors that are not officially eligible to work with Windows 11,
  • random and very cheap “inventions” that only seem to save you money.

Cheap computer for KSeF

You don’t have to buy a new computer for KSeF that costs several thousand zlotys. If the main task of the device is to simply be convenient, trouble-free operation of the system and everyday office work, then post-lease desktop with 8 GB RAM, 256 GB SSD and a processor like i3-8100T, i5-8400 or i5-8500 is absolutely enough. Officially, what counts is up-to-date, supported browsers, which means that the biggest threat is not “too weak a processor”, but too old system and no support for a modern browser. At the same time, when making a new purchase, it is worth sticking to platforms that officially meet the requirements of Windows 11.
