JOHN XXIII FOUNDATION, With more than 55 years of experience dedicated to the socio-labor inclusion of people in a situation or risk of psychosocial vulnerability, it has successfully completed an ambitious project together with Leroy Merlin Spain. This initiative has not only involved the digitization of a large volume of documentation, but has also generated employment for people with intellectual disabilities in the technological field, reaffirming the commitment of both entities to inclusion and sustainability.
The project, carried out from Digital Data (the division specialized in Document Management Services of the Foundation) consisted of digitizing the files of the HR area of the 129 work centers of Leroy Merlin in Spain. In just six months, nearly 30,000 files were collected, digitizing a total of 70,000 files corresponding to 14,000 active employees, classified into five specific typologies. The digitized documents were uploaded directly into Leroy Merlin’s document management system, allowing immediate and efficient access from already processed locations. This effort not only optimized the company’s internal processes, but also represented an important step towards its digital transformation.
According to Beatriz Pérez-Piqueras, Product Manager at FUNDACIÓN JUAN XXIII, “The project began with a documentary consultancy that defined the structure of the files and allowed a pilot to be carried out in one of the main headquarters. “This first step was crucial to establish the phases of the project and face the logistical challenges derived from the geographical dispersion of the documents, the archival standardization and the technological integration in the Leroy Merlin management system”.

To ensure the success of this centralization of your physical file, several specialized work teams were establishedeach dedicated to key tasks such as document collation, classification by typology, digitization and quality control. This systematic approach allowed us to meet the objectives within the established deadline, even exceeding initial expectations. For Soraya Martinez, responsible for Foundation Operations, “This project involved launching a team of people specialized in HR documentation. Thanks to their effort, professionalism and continuous monitoring, we completed the process before the established deadline.”
It should also be noted that the social impact of this initiative has been remarkable. JUAN XXIII FOUNDATION hired 12 people in situations of psychosocial vulnerabilitythree of them were also students of the entity’s Employment Training Center, who thus gained access to their first job opportunity. Additionally, the project has had significant environmental benefits by aligning with the Leroy Merlin’s “zero paper” policythus reducing 4.6 t of wood (equivalent to 15 adult trees stopped felling), a water footprint saving of 107,500 liters of water, a reduction of 27,750 kWh of energy and 2 t eq of CO2 carbon footprint.
For its part, Leroy Merlin has obtained multiple benefits from this collaboration, . These include savings of 95% in storage space, greater accessibility and availability of documentation, increased productivity and regulatory compliance in information security and data protection. Currently, the physical documentation is kept in the facilities of the Foundation, which also offers the client a support, storage and periodic digitization service.
Ultimately, this collaboration has optimized business processes, generated inclusive employment and promoted environmental sustainability. So, JOHN XXIII FOUNDATION is consolidated as a benchmark in labor integration and sustainable document management, highlighting the transformative impact of this type of initiatives in the business and social sphere.
